Oakfield Residents' Association


The Constitution



1. Name:


The name of the Association shall be: Oakfield Residents' Association.


2. Objectives:


The Association shall aim:


1.to maintain the character of the area and promote the welfare of its residents.

2.to keep its members informed of matters affecting them.

3.to be non-party political.

4.to co-ordinate and promote activities with other amenity groups and bodies in its own and surrounding areas.


3. Membership:


All residents within the relevant area shall be eligible for membership of the Association.

Other individuals or organisations with a legitimate interest in the activities of the Association shall also be eligible. Any member organisation shall appoint one individual to represent it.

Members shall pay an annual subscription to run from 1st May each year, the amount to be determined at the Annual General Meeting. 


4. The Area:


The relevant area shall consist of the area bordered by and including Alma Road (north side), Whiteladies’ Road (west side), Queen’s Road from Pembroke Road to the Victoria Rooms/ and Pembroke Road (east side) from Queen’s Road to Alma Road.


5. Meetings:  


a. Annual General Meetings   


An annual general meeting shall be convened by the Secretary of the Association giving not less than fourteen days notice and shall take place not later than the end of July each year.


Such meetings shall receive the reports of the Chairman and Treasurer of the Association and shall decide the subscription for the following year.



                   b. Special General Meetings 

  

A special general meeting shall be convened by the Secretary of the Association giving not less than fourteen days notice and shall take place either: 

 

1.when the Committee so resolves, or  

2.when the Secretary receives a written request for such a meeting signed by not fewer than 25 members of the Association, such request to state the business it is proposed to discuss.


  Such meetings shall take place within 28 days.

  The quorum for such meetings shall be 25 members.


6. Officers and Committee:

 

The Annual General Meeting shall inter alia elect a Committee, including the following three Officers:


1.Chairman,

2.Secretary,

3.Treasurer.


No Officer shall serve without a break for more than three years in any one office.


The committee shall attempt to comprise one resident from each road in the relevant area, hold regular meetings, discuss matters raised by members, and periodically invite members to attend meetings to discuss issues raised.


  The minutes of such meetings shall be available for inspection by members.


7. Neighbourhood Watch


Any member of the Association who lives within the area of one of the Oakfield Neighbourhood Watch Groups shall without further charge be a member of that Group, unless they expressly ask otherwise.


8. Amendments:


No amendments shall be made to this constitution unless proposed in annual or special general meetings and passed by at least two-thirds of members attending such meeting.
